1. INFORMATION WE COLLECT​​

Personal Information Provided by You

We collect personal information you voluntarily provide when you engage with our services or communicate with us, including:

  • Identification details: Full name, company/business name, title, date of birth, residency status

  • Contact details: Email address, phone number, mailing/business/residential address, contact preferences

  • Employment details: Job title, employer details

  • Financial information: Bank account details, credit/debit card details, financial records

  • Relationships: Family and business relationships

  • Professional documents: CVs, resumes, and application-related materials

  • Taxation-related details: Tax File Number (TFN), Australian Business Number (ABN), Australian Company Number (ACN)​

Sensitive Information

Sensitive information includes details about an individual's racial or ethnic origin, political opinions, religious beliefs, philosophical beliefs, sexual orientation, criminal record, health information, genetic information, and biometric information. We generally do not collect sensitive information as defined by the Privacy Act 1988 (Cth). Except where explicitly stated in this policy.​

Client Identification and Verification

To comply with the Tax Practitioners Board (TPB) requirements, our firm verifies each client's identity before providing tax and BAS services.

Verification Methods:

  • Face-to-Face Verification: We do a visual check of your Identification during in-person meetings or video conferencing.

  • Remote Verification: If face-to-face verification is not possible, we use BGLiD, a secure biometric verification service. Biometric data is collected with your explicit consent and managed in compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. HANDLING OF TAX FILE NUMBERS (TFNS)​

Brightwing is committed to protecting your Tax File Number (TFN) in compliance with the Taxation Administration Act 1953 and the Privacy (Tax File Number) Rule 2015.

How We Handle TFNs:

  • Collection and Use: We collect TFNs only when required for lawful taxation, superannuation, or personal assistance purposes. Your TFN is not used as a general identifier.

  • Disclosure: We do not disclose TFNs to unauthorized parties. TFNs are only shared with authorized recipients as defined by tax, superannuation, or personal assistance laws.

  • Transmission Methods: We do not send TFNs via email or social media. TFNs may be disclosed only via phone or in written form following identity verification.

  • Storage and Security: Access to TFNs is strictly limited to authorized personnel. We implement strong security measures to prevent unauthorized access or misuse.

  • Retention and Disposal: TFNs are retained only as required by law and securely destroyed when no longer needed.

 

3. INFORMATION COLLECTED AUTOMATICALLY​

When you visit our website, we automatically collect certain non-personally identifiable information to improve our website and services, including:

  • Geographic location based on IP address

  • Browser type and settings

  • Device type and operating system

  • Language preferences

  • Browsing activity (pages visited, clickstream data, interactions with the site)

We use this data solely for analytics, performance improvement, and user experience enhancement.

  • Publicly available sources (court judgments, directorship/bankruptcy searches, social media, Australia Post, White Pages)

6. DISCLOSURE OF PERSONAL INFORMATION TO THIRD PARTIES

We do not sell or rent your personal information. However, we may share information in the following limited circumstances:

  • With service providers that perform services on our behalf (such as hosting, accounting software providers, audit insurance providers, IT support, and other software providers that we used in the day-to-day running of our practice, marketing partners)

  • In connection with mergers, acquisitions, or transfers of our business assets, where necessary

Overseas Disclosure

Our bookkeeping, accounting, and taxation services are provided entirely within Australia. However, some IT and cloud-based platforms may store or process data overseas. While we cannot always specify exact locations, we take reasonable steps to ensure these providers handle personal information securely and in compliance with Australian privacy laws.

By providing personal information to Brightwing, you consent to the disclosure, transfer, storage, and processing of your information outside Australia, acknowledging that privacy protections in other jurisdictions may differ from Australian standards. Brightwing will take reasonable steps to ensure overseas recipients handle your personal information securely and in line with this Privacy Policy and the Privacy Act 1988 (Cth).

​CPA Australia Best Practice Program

If your personal information is disclosed to CPA Australia for the purpose of conducting a CPA Australia Best Practice Program assessment on the services provided, your personal information will be handled as outlined in the CPA Australia Privacy Policy.

7. COOKIES AND TRACKING TECHNOLOGIES

Our website uses cookies and similar technologies. We do not use cookies to identify you. It is only used to remember your preferences, analyse website performance, and personalise your experience. Brightwing generally does not provide services directly to individuals under the age of 18. However, occasionally we may prepare tax returns or provide related accounting services for minors at the request of, or with the consent of, a parent or guardian. In these cases, we collect and handle personal information about minors solely to the extent necessary to deliver the requested service, always with parental or guardian consent, and in compliance with applicable privacy laws.

You have the right to:

  • Access, update, or correct your personal information

  • Request deletion of your data (where legally permitted)

  • Withdraw consent for data processing

If you believe your privacy rights have been violated, you can lodge a complaint with us or with the Office of the Australian Information Commissioner (OAIC).
